1) Overview
Our goal is accuracy and speed. Because much of our work involves time-sensitive preparation and submission of documents to government agencies, some payments become non-refundable once work begins or funds are remitted. This policy should be read with our Terms of Service and Service Agreement.
2) Refund Eligibility
- If we have not begun work, you may cancel for a full refund of our service fee.
- If work has begun (research, forms, coordination, or appointments), our service fee is refundable only for the portion not yet performed; completed work is non-refundable.
- If we are unable to perform due to our error and no government submission has been made, we will issue an appropriate refund of our service fee.
3) Service Fees
Our concierge service fee compensates labor, expertise, and scheduling. Once the associated steps are completed (e.g., form preparation, review, notarization logistics, DMV visit), that portion of the fee becomes non-refundable.
4) Government Fees & Taxes
DMV taxes, title/registration fees, plate fees, and similar government charges are determined by NCDMV or local authorities. Once paid or submitted by us on your behalf, these amounts are not refundable by us. Any corrections/credits must be handled by the issuing agency.
5) Cancellations & Timing
- Before work starts: full refund of our service fee upon request.
- After work starts, before DMV submission: partial refund of any unperformed portion of our service; third-party costs already incurred (e.g., courier, postage) are non-refundable.
- After DMV submission or appointment: our service fee and any remitted government fees are non-refundable.
6) Overpayments & Adjustments
When DMV-assessed amounts differ from estimates, we’ll reconcile your account. Surpluses are refunded; shortages are collected with your authorization. If a government agency later issues a credit, we will pass it through as soon as received.
7) How to Request a Refund
Send an email to support@nctitletransfer.com with:
- Full name and phone number
- Order number (if available)
- What you’re requesting a refund for and the reason
- Any supporting details (receipts, timestamps, agency notes)
8) Processing Time & Method
- Approved refunds are typically processed within 5–10 business days.
- Refunds are issued to the original payment method where possible.
- Bank posting times may vary after we release the refund.
9) Non-Refundable Items
- Completed service steps and labor already performed
- Government fees/taxes already remitted to NCDMV or related agencies
- Third-party costs already incurred (notary, courier, postage, shipping)
- Missed appointments due to client no-show or late arrival without reschedule
10) Chargebacks
If you dispute a payment with your bank while we are resolving a support or refund request, processing may pause. If a chargeback is reversed in our favor, you may be responsible for related administrative fees assessed by the processor.
11) Changes to this Policy
We may update this policy to reflect process or legal changes. We’ll revise the “Updated” date above and, where appropriate, provide additional notice.
